Duties and Responsibilities: 

20% - Advise current and potential students regarding training for courses by providing relevant schedules and training opportunities for students to adequately fit courses and programs between their work schedules for U.S. Coast Guard programs; enroll students in the various U.S. Coast Guard courses as necessary throughout the calendar year for ongoing programs, and as they apply to any licensing or upgrades the mariner may need.

20% - Work with the Registrar’s office to ensure all students planning to attend training are enrolled in Banner.

20% - Organize and maintain electronic and hard copy documentation for the Maritime and Industrial Training Center, as it relates to student scheduling, inventory, tracking and U.S. Coast Guard auditing. Monitor benchmarks and identify trends and problems. Participate in projects by managing new initiatives as they arise.

15% - Independently compose written correspondence to potential students and international companies/clients, conducting professional communication via telephone, email and in person regarding training needs.

10% - Create and develop innovative ways of streamlining the operations processes wherever possible, within the guidelines of Delgado’s policies and procedures. Create and implement short-term and long-term logistic plans for training and student needs.

10% - Assist with coordination of stock inventory and ensure product quantity adjustments are properly applied, and assist with coordination of activities related to training, program review, assessments and audits as required for commercial programs.

5% -Perform additional duties as assigned by Supervisor.

Required Education: Bachelor's Degree or a minimum of 8-10 years administrative experience, with duties relevant to those of this position.

Required Experience: Experience with Microsoft Software Suite; ability to quickly learn new software, and other technology as needed. Excellent written and oral communication skills; ability to independently compose professional correspondence; and solid organizational and interpersonal communication skills. Strong customer service skills.

Preferred Experience: Advanced experience with Microsoft, particularly Access, Excel and Word. Some experience with Power Point. Some knowledge and/or experience with Banner.
